Build the budget in five ledgers.

Use a worksheet that can be audited.
List every quoted shared item with provider, date, amount, due date, and cancellation status.
Mark each item as required for all, required for a subgroup, or individually optional.
Add the confirmed shared subtotal. Keep personal spending outside this number.
Add the group-approved contingency as its own line rather than padding individual estimates.
Divide each ledger only by the confirmed participants responsible for it.
Record payments, receipts, refunds, and remaining balances in the same shared view.
Set money rules before booking.
- One person owns the ledger; a second person reviews it.
- A verbal yes is not a deposit.
- Every payer can see which items are refundable and until when.
- A person who joins late pays the same applicable ledgers unless the group explicitly decides otherwise.
- A person who cancels is responsible for any nonrecoverable amount created by that cancellation, subject to the group's written agreement.
- Casino gambling and other personal entertainment remain personal expenses.
Compare quotes on risk as well as amount.
